Gmail has had these settings active for a couple years. We have technicians that are wizards on printers but know very little about gmail or SMTP - they’re printer hardware technicians. The printer technicians you are working with are not experienced IT people.

I feel that the issue you’re experiencing is affected by a couple factors: Otherwise, our IT division is happy to do a Managed IT Agreement or Break/Fix labor to set up or troubleshoot SMTP server issues using your own domain - often using a transactional email service instead of GMail or M365 which while possible is not a great idea.

We provide SMTP via Amazon SES for free to clients, but it is sent from a We do not charge to troubleshoot this, but you must have an active (printer) support agreement with us to use this free resource. That’s an IT issue - our IT division is assigned the ticket from our helpdesk and the client is billed for our time to go into their GMail / SMTP setup and make the necessary modifications. We definitely help clients use their own SMTP servers via gmail if they choose, it’s just not covered under their managed print agreement with us because that’s not an issue with the device itself. Hopefully my rant/walkthrough has been helpful, and let me know if there's anything I need to update or address. That's it! You can now use your scanner with your Gmail account to send scans to email. If for some reason your smtp settings have changed, set them back to the default for Gmail: Server name: Port: 587 SMTP Security: STARTTLS This allows you to continue using the scanner without needing 2FA. Log into your scanner and replace your normal gmail password with the App Password you created. Once you continue, you can't see it again, and will have to make a new App Password. When given a dropdown for type, click "Other" and then fill in a label, such as "OP's Scanner".Ĭopy the random password that is created and save it somewhere safe. An App Password just means a secure password that can only be used by one application. Once 2fa is enabled, you should see an option for "App Passwords" in the "Signing in to Google" section. You can do this at /security under the "Signing in to Google" section. While it is true that Google had updated their security standards, it can still be used with App Passwords! In order to use scan-to-email:Įnable 2FA on the Gmail account in question. I've been told by so many printer technicians and confused clients that as of today they can't use Gmail for their scan-to-email setup.
